Terms & Conditions

These Terms & Conditions govern the use of services provided by Travscope, a brand of Memorable Hospitality Private Limited. By making an enquiry, accepting a quotation, making a payment or confirming a booking with us, the customer agrees to these Terms & Conditions.

1. Booking and Confirmation

All bookings are subject to availability and confirmation by Travscope and/or the respective service provider.

A quotation or itinerary provided by Travscope does not constitute a confirmed booking until the required payment has been received and confirmation has been issued.

Bookings may include services provided by third-party suppliers such as airlines, hotels, transport companies, destination management companies, cruise operators, activity providers and other travel service providers.

Once a booking is confirmed, the applicable terms and cancellation policies of the respective suppliers shall also apply.

Travscope reserves the right to revise a quotation if supplier availability, rates, taxes, currency exchange rates or other booking conditions change before confirmation.

2. Payment Terms

The payment schedule will be communicated in the quotation, invoice or booking confirmation.

Bookings may require an advance payment or full payment depending on the nature of the service and the supplier's terms.

Full payment must be received within the specified deadline to maintain confirmed services.

Failure to make payment within the stipulated time may result in cancellation or release of the booking.

Any bank charges, payment gateway charges, foreign exchange charges or other transaction charges, where applicable, shall be borne by the customer unless specifically stated otherwise.

For international bookings, the final amount may vary due to exchange-rate fluctuations, bank charges, supplier currency conversion and applicable taxes.

3. Prices and Taxes

Prices quoted by Travscope are based on the information and supplier rates available at the time of quotation.

Unless specifically stated, prices may be subject to applicable GST, TCS, government taxes, tourism fees, visa fees, airport charges, service charges or other statutory charges.

Any increase in taxes, government charges, airline charges, hotel rates or supplier charges after quotation may be payable by the customer.

All prices are subject to the inclusions and exclusions specifically mentioned in the quotation.

4. Cancellation by Customer

Cancellation requests must be made in writing through the official communication channel of Travscope.

Cancellation charges will depend on the cancellation policy applicable to the individual services booked.

Airline tickets are subject to the fare rules and cancellation policies of the respective airline.

Hotel bookings are subject to the cancellation and no-show policies of the respective hotel or supplier.

Tour packages are subject to the cancellation terms mentioned in the quotation or booking confirmation.

Non-refundable bookings, deposits, tickets, permits, visa fees, activity charges and supplier payments may not be refundable.

Cancellation charges may increase as the travel date approaches.

Any cancellation charges imposed by third-party suppliers will be passed on to the customer.

Where applicable, Travscope may also retain reasonable service, processing or administrative charges already incurred in arranging the booking.

5. Refunds

Any refund will be processed only after the applicable suppliers have confirmed the refundable amount.

Refunds are limited to the amount actually received from suppliers, after deduction of applicable cancellation charges, taxes, non-refundable amounts and service charges, where applicable.

Refund processing time depends on the supplier, airline, hotel, bank or payment gateway and may take several working days or longer.

Travscope is not responsible for delays in refunds caused by airlines, hotels, banks, payment gateways or other third parties.

Where applicable, GST and other statutory components of a refund will be handled in accordance with applicable law and tax rules.

6. Cancellation or Changes by Travscope or Suppliers

Travscope may be required to modify, reschedule or cancel a booking due to circumstances beyond its reasonable control, including supplier changes, operational issues, weather conditions, natural disasters, strikes, government restrictions, political situations, safety concerns or other unforeseen circumstances.

Where a supplier cancels or materially changes a service, Travscope will make reasonable efforts to offer available alternatives or process any eligible refund.

Travscope shall not be responsible for losses arising from changes or cancellations caused by third-party suppliers or circumstances beyond its reasonable control.

Any refund or compensation will be limited to the amount or remedy actually made available by the relevant supplier, subject to applicable law.

7. Flight Bookings

Flight bookings are subject to the airline's fare rules, baggage allowance, check-in requirements, cancellation policy and other conditions.

Flight schedules, aircraft, routes and timings may be changed by airlines without prior notice.

Travscope is not responsible for airline delays, cancellations, missed connections, denied boarding, baggage delays or baggage loss caused by the airline or airport authorities.

Customers are responsible for checking their flight details and complying with airline check-in and reporting requirements.

8. Hotel Accommodation

Hotel rooms are subject to availability and confirmation by the hotel or supplier.

Room categories, facilities, meal plans and other inclusions are as specified in the booking confirmation.

Hotels may require a security deposit, identification document or credit-card guarantee at check-in.

Early check-in and late check-out are subject to hotel availability and may involve additional charges.

9. Passport, Visa and Travel Documents

Customers are responsible for ensuring that their passports, visas, permits and other travel documents are valid and meet the requirements of the destination.

Visa approval is solely at the discretion of the relevant embassy, consulate or immigration authority. Travscope does not guarantee visa approval or entry into any country.

Visa fees and application charges may be non-refundable even if a visa is refused, delayed or withdrawn.

Customers must provide accurate and complete information for visa and travel arrangements.

10. Customer Responsibility

The customer is responsible for providing accurate information, including names, dates of birth, passport details, travel dates and other booking information.

Travscope shall not be responsible for costs arising from incorrect information supplied by the customer.

Customers are also responsible for complying with applicable immigration, customs, health, safety and local regulations during their journey.

11. Travel Insurance

Travscope strongly recommends appropriate travel insurance for all domestic and international journeys.

Unless specifically included in the booking, travel insurance is not part of the package. Customers are responsible for obtaining suitable insurance covering medical emergencies, trip cancellation, baggage loss, delays and other travel-related risks.

12. Third-Party Service Providers

Travscope acts as a travel organiser, facilitator and/or intermediary for various travel services. Many services are provided directly by independent third-party suppliers.

Travscope does not own or control the operations of airlines, hotels, transport operators, restaurants, activity providers, cruise companies, visa authorities or other third-party suppliers.

The terms and conditions of such suppliers may apply in addition to these Terms & Conditions.

13. Liability

Travscope will make reasonable efforts to provide the services included in the confirmed itinerary. However, Travscope shall not be liable for circumstances beyond its reasonable control or for acts, omissions, delays, failures or decisions of independent third-party suppliers.

Such circumstances may include flight delays or cancellations, hotel changes, traffic, road closures, weather conditions, natural disasters, strikes, government restrictions, political unrest, security situations, medical emergencies, loss of personal belongings or supplier failures.

Nothing in these Terms & Conditions shall exclude or limit any liability that cannot lawfully be excluded or limited under applicable law.

14. Personal Belongings

Customers are responsible for the safety and security of their passports, money, valuables, luggage and personal belongings during the journey.

Travscope shall not be responsible for loss, theft or damage to personal belongings except to the extent required by applicable law.

15. Special Requests

Special requests such as room preferences, connecting rooms, dietary requirements, wheelchair assistance, seating preferences, early check-in or other special arrangements will be communicated to the relevant supplier.

Such requests are subject to availability and cannot be guaranteed unless specifically confirmed in writing.

16. Itinerary Changes

The itinerary may be modified when reasonably necessary due to operational requirements, weather, local conditions, supplier changes, safety considerations or other circumstances beyond our control.

Where reasonably possible, Travscope will provide suitable alternatives of comparable nature, subject to availability and applicable additional costs.

17. No-Show

If a customer fails to use a booked service without prior cancellation, the booking may be treated as a no-show.

No-show charges will be governed by the applicable supplier's terms and may result in partial or complete forfeiture of the amount paid.

18. Customer Conduct

Customers are expected to follow applicable laws, hotel rules, transport regulations and reasonable instructions of local service providers.

Any additional costs, penalties, damages or expenses resulting from a customer's misconduct, negligence or violation of applicable rules may be payable by the customer.

19. Complaints and Service Issues

Customers should report any service-related issue to Travscope or the relevant supplier as soon as reasonably possible during the trip so that an opportunity is available to resolve the issue.

Where a complaint concerns a third-party service provider, Travscope will make reasonable efforts to assist the customer in communicating with the relevant supplier.

20. Force Majeure

Travscope shall not be considered in breach of its obligations where performance is prevented, delayed or materially affected by circumstances beyond its reasonable control, including natural disasters, pandemics, epidemics, war, terrorism, civil unrest, strikes, government actions, border restrictions, weather conditions, technical failures or supplier disruptions.

21. Promotional Offers

Promotional offers, discounts and special packages may be subject to additional terms, availability and specified validity periods.

Such offers cannot be combined with other promotions unless expressly permitted.

22. Communication

Customers may receive booking-related communications through email, telephone, SMS, WhatsApp or other communication channels provided by the customer.

Customers are responsible for ensuring that the contact details provided to Travscope are accurate and accessible.
